Using Our New Meeting Booking System

Booking Guide for Members

Before You Start

You will need:

•      Your mobile phone — the same number you gave us when you signed your membership agreement.

•      A web browser — works on your phone, tablet, laptop, or desktop.

If the phone you use most often is different from what we have on file, contact the office and we will update your record so you can sign in.

Step 1 — Sign In

1.     Go to qbixcentre.com

2.     Click the gold Book A Meeting Space button at the top of the page.

3.     Type your mobile phone number and click Send Verification Code.

4.     Watch your texts for a 6-digit code. Type it in and click Verify Code.

You’re in. The booking calendar opens.

Step 2 — Pick the Meeting Space

On the right side of the page you’ll see a dropdown labeled “Booking:”. It defaults to the Conference Room, but you can pick any vacant office that is also available for booking.

•      Click Click to See Floor Plan below the dropdown to see the layout of the space you picked. It opens in a new tab.

•      The name of the space you’re viewing also shows in the upper-left of the calendar so you always know which space you’re looking at.

Step 3 — Pick a Date and Time

1.     Click any future date on the calendar.

2.     A booking form appears on the right. Type a Meeting Title — this is what other members will see on the calendar (for example, “Client Board Meeting”).

3.     Pick a Start Time and End Time. Times are in 15-minute increments between 7:00 AM and 6:00 PM.

4.     Click Confirm Booking.

Changed your mind? If you click a date and decide not to book it, click the small × in the top-right of the booking form to close it without saving.

Step 4 — Confirmation

You’ll see a green “Booking Confirmed!” card and we’ll send you a text message confirming the reservation.

You’ll also get a courtesy text reminder 24 hours before your meeting.

Your Conference Room Hours

Each membership includes a set number of conference room hours per month. The number is on your membership agreement, and it’s shown at the top of the right-hand panel when you log in:

•      Welcome, [Your Name] — the month, hours used, and hours remaining.

Conference room and meeting-space hours all draw from the same monthly bucket. If two people from the same company both make bookings, the hours come out of the same shared pool.

What if I go over my hours?

You’ll see a warning before saving any booking that would push you over your monthly allowance. It will show how many extra hours the booking adds and the additional charge. You can either accept and confirm, or pick a shorter time.

View, Edit, or Cancel a Booking

On the right side of the booking page, scroll down to My Upcoming Bookings.

Each upcoming booking shows the date, time, space, and meeting title. Two buttons appear next to each:

•      Edit — change the date, time, space, or meeting title.

•      Cancel — remove the booking and free up the time slot. Hours go back into your monthly bucket.

You’ll get a confirmation text any time you edit or cancel.

See everyone’s upcoming bookings

Above the calendar there’s a Calendar / List toggle:

•      Calendar — a month-at-a-glance grid for the space you’ve selected.

•      List — every booking across every space, sorted by date.

House Rules and Tips

•      Hours: You can book between 7:00 AM and 6:00 PM, in 15-minute blocks.

•      How far ahead: You can see and book this month and next month.

•      Conflicts: A time slot already taken is grayed out — pick another. Bookings on the same calendar day show in the cell so you can see what’s already taken.

•      Privacy: Your meeting title is visible to other members on the calendar, so use a title that doesn’t reveal anything confidential. “Meeting” or “Client Meeting” is always a safe choice.

•      Text messages: Reply STOP to opt out of booking texts; HELP gets you a help message. Standard rates apply.

When You’re Done

Click Sign out in the top-right of the booking page, or Back to qbixcentre.com on the top-left to return to the main site.
